Cancellation Policy:
TRIP RULES and CANCELLATION POLICIES of THE COLUMBIA SKI CLUB
(Columbia Ski Club is hereafter sometimes referred to as CSC)
Trip Sign Up
1. Only Columbia Ski Club members and their family members under the age of 18 may participate on CSC trips.
? Members of Blue Ridge Ski Council Clubs may participate on BRSC sanctioned CSC trips.
2. All Trip Participants must submit a signed Trip Reservation Form and a deposit to reserve a spot on the trip.
? Minors’ forms must be signed by their parent or legal guardian.
? Minors must be accompanied by their parent or legal guardian on the trip.
3. Trip participants are responsible to submit all required TSA information prior to airline ticketing.
? Once issued, the Trip Participant is liable for any airline change fees and all unrecoverable expenses.
? All Airline Baggage Fees are the responsibility of the trip participant.
4. Trip packages are offered as part of a group trip, additional activities may be offered to the group as a whole.
Individuals requiring special conditions (lodging, meals, transportation, medical, etc.) must make those
arrangements themself.
5. CSC recommends participants obtain Trip Cancellation / Interruption Insurance and Trip Medical Insurance.
Payments / Cancellations / Split Packages / Exchange Rates
6. Failure to make payments according to the trip payment schedule may result in replacement of the participant.
7. Cancellations are subject to a Cancellation Fee and the participant will be liable for all unrecoverable expenses.
? Cancellations more than 14 days prior to departure are subject to a $50 fee plus unrecoverable expenses.
? Cancellations made 14 days or less to departure are subject to a $75 fee plus unrecoverable expenses.
? Returned checks will be charged a $35 fee.
8. Prices listed are based on a group package. Changes to the basic package may not be available and, if available,
may be subject to a fee to preserve the integrity of the contract with the vendor, airline, lodging or other suppliers
? *Participants using No CSC Flights option may be responsible for their own ground transportation to and
from the resort if their flight arrives or departs at a different time than the CSC contracted flight.
? Rooming is based on double occupancy in hotel/lodge/motel rooms or condo rooms.
? A trip participant may have the option to pay an additional single supplement fee for a private bedroom.
9. International trip prices are subject to changes in value of the US Dollar vs. the currency of the host countries.
Trip Participation Rules / Liability
10. Trip participants agree to abide by the Rules and By-Laws of the Columbia Ski Club and, while participating in the
activities of the CSC, to also abide by the Activity or Trip Rules and the orders of the person(s) in charge.
Trip participants are expected to be respectful to their fellow trip participants, travel representatives, the hotel staff
and any other person rendering services to the group.
11. The Columbia Ski Club acts only as an agent for the contractors and owners providing services associated with
this trip and are not liable for injury, loss or damage to or in respect of any person or property. CSC makes every
effort to guarantee prices but cannot absorb increases beyond their control including fuel surcharges, tax
increases, or any other act outside the actual control of the CSC. Trip participants must absorb these increases.
In the event of inclement weather, natural disaster, illness or injury, labor disputes, accidents, government travel
restrictions, acts of war or terrorism or other declared national emergency, or any other circumstances beyond the
control of the CSC that may delay, necessitates medical care, special transportation or other expenses, it is not
the responsibility of the CSC to pay for resulting costs and expenses. This includes, but is not limited to, additional
lodging, meal, medical, or transportation expenses other than those specifically contracted in this CSC trip.
12. The State of Maryland shall be the choice of law to resolve any disputes arising under this contract.
Illness / Injury Policies
13. The Trip Participant must assume the primary responsibility for his/her own health and welfare.
14. It is the participant’s responsibility to seek, arrange and submit to medical treatment due to injury or illness.
If the participant is unable to do so due to a medical condition or an incapacity, his/her emergency contact
and / or next of kin shall be contacted to make arrangements for medical treatment.
15. The Trip Leader(s) cannot offer medical advice nor make medical decisions on behalf of the participant.
16. CSC recommends participants obtain Trip Cancellation / Interruption Insurance and Trip Medical Insurance
